How do pickup holds work so a card doesn't get sold twice?

This is the second half of what to use instead of BinderPOS. That post covers the options. This one covers what happens on the floor, and what it takes to start.
What goes wrong without holds?
Sales get tracked fine. The trouble is everything around the sale: what's really on the shelf, what's promised to someone, and what happened to the card that got pulled and never picked up. A hold answers the middle one. Once a customer asks for a card, it's theirs until they collect it or the hold lapses, so the same copy can't walk out the door with someone else.
How does a pickup request work?
A customer browses your storefront, sees live stock ("N in stock"), and sends a pickup request. Those cards are held, so they can't be sold twice.
Your staff get an email for each new request with a QR link. From there:
- On the staff screen they tap "Start fetching."
- They pull each card and mark it "Found" or "Not found." A "Count may be off" note helps when your numbers have drifted.
- They tap "Complete request."
- The customer gets a "Ready for pickup" email listing what was found and what "we couldn't find." Their status page updates live.
- At pickup, the customer shows the QR on their status page ("Show this at the counter"). Staff scan it and tap "Picked up & paid." The cards come out of stock.
If a customer never shows up, the hold expires and the cards go back on the shelf automatically. Nobody has to remember to do it.
Sales stay in your POS. Oskii handles live stock, requests, holds and the fetching behind the counter. A buylist is in the works.
That's the whole loop: request, hold, fetch, notify, scan, done. Staff tap through it. Customers see their status update live.
Don't I have to migrate everything?
This is the real blocker, and we won't pretend otherwise. As the founder puts it: "Fear of migration. Any new tool presents operational risk (time and training)."
So we built around it. Oskii runs alongside your current POS, and you don't move your sales anywhere. To start, export a CSV from what you have and import it into Oskii. ManaBox and CrystalCommerce imports exist: see ManaBox and CrystalCommerce.
On training, the founder's answer: "Staff members are used to the Oskii flow already; we've designed it intentionally with them in mind." The goal is one ecosystem for game stores, "whether it's ours or another." Down the road we may look at being a central POS. For now, start with what you already have.
A Shopify app is being built, expected in 2027. It isn't available today.
What should I expect in the first month?
We won't promise numbers, because stores differ. Here's what to watch for:
- Fewer "do you have X?" calls, because customers can see it on the storefront.
- Fewer holds that are never picked up, and the ones that lapse return to stock on their own.
- Staff no longer guessing where a card went back.
- Customers walking in because they saw a card in stock.
The owner's Reports page shows requests per day, pickup rate, share of cards not found, and holds expired, over 7, 30 or 90 days. Use it to check all this against your own gut.
Is this for every store?
No. Oskii is built around foot traffic. If most of your revenue ships in a box, a marketplace tool will serve you better. But hey, we'd love to see traction here and new creative ways to fulfill your business needs. Come chat with us! The full picture is in What can I use instead of BinderPOS?
Oskii is on a waitlist, by invitation. If you want to see it with your own inventory, export a CSV and check pricing.
